1. Reservations and Payment

• Reservation: booking event tour packages can be made via phone or email: info@agievent.com

• Participant's name: a copy of the participant's passport is required

• Deposit: For reservation confirmation, a deposit of 50% of the total tour package fee is required. Deposits are non-refundable.

• Full Payment: Payment must be made at least 15 days before the departure date. If full payment is not received within the specified timeframe, the reservation may be canceled by the hotel, transportation, event organizer, etc. and the deposit will not be refunded.

• Payment Method: Payment can be made via bank transfer or any other payment method agreed upon by both parties.

2. Guaranteed number of Participants

• Minimum guaranteed number of participants: 

• The number of participants is less than 20 people, so there is no refund.

• The increase in the number of participants can be conveyed to the organizer 30 days before departure, the amount of the price incurred will be conveyed to the new participant and does not guarantee the same price if there is an increase in prices from hotels, transportation, tourist attractions, and so on.

3. Cancellation and Refunds

• Cancellation by Participant: Tour Package is non-cancellable 

(non-refund) according to the rules of the Tour Event Package, there are no refunds.

4. Schedule and Program Changes

• The Provider reserves the right to change the tour schedule and program without prior notice if necessary for the convenience and safety of the participants.

• In the event of a price change due to a change in currency rates, an increase in fuel prices, or government taxes, participants will be notified as soon as possible and a fee adjustment will be charged to the participant.

5. Responsibility

• The Provider is responsible for providing the services stated in the Tour Event Package.

• The provider is not responsible for any loss of personal belongings, accidents, illnesses, or other losses incurred during the tour.

• Participants are responsible for maintaining personal belongings and complying with applicable regulations at the destination.

6. Visas and Travel Documents

• Participants are responsible for ensuring that they have a passport valid for at least 6 months from the date of departure and the required visa.

• Deportation or refusal from the local country immigration for any reason, the provider is not responsible and there is no refund of the tour fee or otherwise.

• Changes in travel events due to natural disasters, wars, disease outbreaks, terrorist acts, riots, and so on are "Force Majeure".

7. Flight Tickets

• The Provider will be provide air tickets by request

• Airport handling Jakarta, will be charged an additional fee of IDR 5,000,000,-/group including porter fees (if needed by Participants)

8. Travel Insurance

• Tour Package includes travel group insurance that covers trip cancellation, medical expenses, and lost luggage. ( Trip Cancellation and Change Insurance Premium up to IDR 15,000,000,-Medical and emergency expenses up to IDR 350,000,000,-)

• Group insurance policy will be provided after payment

9. Complaints and Claims

• Complaints during the tour must be reported immediately to the tour guide or provider representative on site. Claims after the tour must be submitted in writing no later than 14 days after the tour ends.

10. Force Majeure

• The Provider is not responsible for any delay or failure in performing its obligations caused by events beyond its control (force majeure), such as natural disasters, fires, wars, or other emergency conditions.

11. Deviation / Schedule Change

• Any deviations outside of the predetermined tour schedule are the responsibility of the participant, such as additional fees to be paid for airfares, hotels, etc. The Service Provider and its subsidiaries do not guarantee confirmation of the requested deviations. If by the deadline for ticket issuance, the deviation status has not been confirmed, participants are required to follow the date according to the original schedule.

• Participants who cancel their participation due to unfulfilled deviation requests will be charged a cancellation fee by applicable regulations.

• If the requested deviation status has been confirmed by the relevant party, the original reservation will be automatically canceled and if the participant wishes to return the schedule to the original date, the Service Provider and its subsidiaries cannot guarantee to get it back.

Unused Services

• The Tour Participant cannot claim a refund for unused services and facilities, including immigration, customs, quarantine matters, or other matters beyond the control of the Service Provider and its subsidiaries. This also applies to existing tour event group packages that generally do not have a refund value (non-refund)

Responsibility

• The Service Provider and its subsidiaries always strive to provide the best and responsible service during the trip. However, the responsibility of the Service Provider and its subsidiaries and sales agents is only limited to connecting the transportation service provider, the hotel, and the event location. The Service Provider and its subsidiaries shall not be liable for accidents, loss of goods, excess baggage, detention either at the airport or in hotels, costs related to quarantine and interruptions/changes in aircraft or other transportation schedules, or as a result of strikes, force majeure, government regulations and others beyond the control of the Service Provider and its subsidiaries,

• Since the responsibility for the operation of the means of transportation used during the tour is carried out by the carrier or individual, which in the case of the operation is bound by the regulations of the country where the transportation is carried out, in the event of an accident, first aid must be requested to the country where the accident occurred. If circumstances are unavoidable/unresolved, the departure date may be changed with prior notice.

Passport

• The validity period is at least 6 months (or more, according to the provisions of the destination country), counting until you arrive back in Jakarta.

Pregnant women/Participants requiring special attention/Special requests

• Women over 6 months pregnant are not allowed to participate, for safety reasons and by applicable airline regulations.

• For the sake of the smooth travel of the entire group, tour participants who require special attention must be accompanied by at least 2 (two) people who are physically and spiritually healthy during the trip.

• Special requests such as food menus (vegetarian, Diet, No Pork, etc.),

• Special requests for hotel rooms are based on the availability of bed types available at the time of check-in (twin bed - king size bed) and do not guarantee the availability of certain room types.

12. Others

• All participants must comply with the rules and regulations set by the local country and the provider during the tour.

• The Provider reserves the right to refuse or terminate the participation of any participant who is deemed to interfere with the comfort or safety of other participants.

• By making a reservation and making payment for this tour event package, participants are deemed to have read, understood, and agreed to all applicable terms and conditions.
